Inventory Status Levels

Inventory levels allow a retailer to track how many of each SKU exist in a specific status. It is important to understand the details of each level. The following table describes the inventory levels available for each SKU.

 

Inventory Level

Description

In Stock

This is the amount of free, unassigned inventory available for each warehouse.

Reserved

This is the amount of inventory reserved for an order or a sales channel.

Assigned (Not Shipped)

This status represents a SKU that has been assigned to an order but has not yet shipped. Assigned inventory is unavailable inventory.

Take Now
& Shipped

This status represents a SKU that has been assigned to an order and has either been shipped or is an in-store  take away item. Take Now & Shipped inventory is unavailable inventory.

Backordered

This is the amount of inventory on backorder. A backorder is a SKU in a customer's order that cannot ship due to lack of inventory availability. This can occur when an order is sourced using the Stock Fulfillment Method and not enough inventory is available from the selected warehouse.

Once placed on backorder, the next time the SKU is received from a stock purchase order, CORESense automatically assigns inventory to the order and reduces the Backordered inventory level.

In PO

This is the amount of inventory in all purchase orders with an Open purchase order status. This includes stock, drop-ship and just-in-time purchase orders.

In PO Builder

This is the quantity of inventory in the PO Builder. The PO Builder is a queue of inventory planned for purchasing. The PO Builder does not represent inventory currently in purchase orders, that inventory is represented by the In PO level. At any time, inventory can be selected from the PO Builder to create a new purchase order. When the new purchase order is created, the inventory is removed from the PO Builder inventory level.

Held

Represents inventory assigned to a non-fulfillable sub-location. This quantity is not counted in the Available bucket. Examples of this might include items being returned to vendor, damages, or repair items.  SKUs assigned as Held are displayed in the Inventory Manager > SKU Instock tab within the HELD box.

 

Inventory Level Screen

The Inventory Level screen is accessed from the  SKU's main menu toolbar. The Inventory Levels link displays the screen, which contains SKU inventory details. The table below describes the fields identified on the Levels screen.

Available

Current quantity with an open status and available for assignment.

Held

Represents inventory assigned to a non-fulfillable sub-location. This quantity is not counted in the Available bucket. Examples of this might include items being returned to vendor, damages, or repair items.  SKUs assigned as Held are displayed in the Inventory Manager > SKU In Stock tab within the HELD box.

Pre-Ordered

Special system configuration for subscription based products.

Backordered

The displayed Backordered value is a link. By clicking this link, the Backordered section of the SKU appears.

Reserved

The displayed Reserved value is a link. By clicking this link, the Reserved section of the SKU appears.

Assigned Not Shipped

Quantity of SKUs currently assigned to orders with a shipment ID but not yet shipped, order status would be In Shipping.

Take Now & Shipped

Quantity of orders that the SKU was sold via either take now sale or ship later and full shipment has occurred. The order status would be Shipped.

In Purchase Order Queue

The In PO Builder inventory level.

In PO

The In PO inventory level.

In Open Return

SKU is in an open R&A phase, the physical item has not been received into the warehouse yet.  The displayed In Open Return value is a link. By clicking this link, the In Open Return section of the SKU appears.

In Stock

The In Stock inventory level for each warehouse.

In Transfer to

Identifies where inventory is being transferred to, from one warehouse to another or from one location in a given warehouse to a different location in that same warehouse.

Avg. Cost Ea.

The average cost per SKU in the In Stock inventory level. This value is calculated using the actual cost of each individual SKU, not the unit cost associated to the default vendor.

In Stock Cost

The total cost of inventory in the In Stock inventory level for all warehouses. This value is calculated using the actual cost of each individual SKU, not the unit cost associated to the default vendor.

 

Sales Channel Inventory Reservations

Every sales channel, except the POS, can be configured to reserve inventory.

 

The following table describes the inventory reservation process for each sales channel.

 

Sales Channel

Description

Website

Inventory can be reserved for the customer at the time an item is added to the shopping cart.  

  • If the shopping cart is abandoned, CORESense automatically moves the inventory back to the In Stock level after a set amount of time.  

  • Inventory is automatically released from the website if the customer is idle for a specific amount of time. This time limit is a configuration setting on your website.

  • Once the order is completed, the inventory remains in the reserved status until the order is sourced by the retailer.

eBay

Inventory can be reserved for an eBay auction at the time the auction is launched. This can happen for auctions launched individually, in batch, or as repeating auctions. If the eBay auction is unsuccessful, CORESense will automatically move the inventory back to the In Stock level unless automatic re-listing has been enabled for the product. If the auction is successful, an order is created and the inventory remains in the reserved status until checked out through the website and sourced by the retailer. SOI

Inventory can be reserved for a customer at the time an item is added to the order using the Sales Order Interface. For more information about managing items on an order, see Creating a New Order.

Custom

CORESense enables retailers to sell through custom integrated sales channels such as Overstock.com. Since these integrations are custom, the retailer has the option to reserve inventory at the time product is sent to the sales channel.
