Drop-ship Orders in PO Queue

Orders are entered into CORESense from website or SOI. The system runs fulfillment automation and orders move into Awaiting Inventory status and POs are in PO Queue waiting for confirmation.

Action

In PO Queue, review items that you want to create a PO for and check or uncheck the box to include them. Filter the pending PO items by Vendor and/or Fulfillment Type. Review the items and select those that you wish to create a PO for.

All items that were checked staged for PO confirmation per each order.

Once confirmed, the Fulfillment Summary lists whether an email or document was generated for the vendor. Emails are automatically sent to the vendor, printed documents need to be accessed from the PO Manager and mailed/faxed to vendor.

Once vendor notification is received, complete the following:

  1. Search for PO by PO# in the PO Manager.

  2. Click on PO# to open PO for receiving.

  3. Click on Receive link of PO.

  4. In Shipment Manager, send shipping confirmation emails.

In the Purchase Order Manager, search for the PO to receive the items associated with the order.

In Shipments tab of the PO the Ship Date is assigned. If you need to change the Ship Date click on the hammer/wrench icon to back date it.

Click the Receive link to complete receiving of items.

Enter quantities and click Receive button.

Once the item is received the following occurs:

  • Ship Date is assigned

  • Shipment status  = Shipped

  • Order Status = Shipped (if all items have been shipped)

  • Order is locked (if all items have been shipped)

  • PO is closed

To Send the shipment confirmation email, go to the Shipment Manager, search for the drop-ship shipment using any combination of the following criteria:

  • Shipment Status  = Shipped

  • Fulfillment Method  = Drop-ship

  • Order #

  • PO#

Click on the hammer/wrench icon of the appropriate shipment.

Click on Correspondence tab to access the Choose Template drop-down list.

Select either Full or Partial Ship Confirmation Email (as appropriate) and click on the send button. The Ship Date and tracking information are automatically populated in the email.
