Credit Card Payments

When setting up CORESense to receive payments, you can choose from several payment gateway integrations to accept payments online or in person. We also offer integrations to the most popular digital and mobile wallets, including  Apple Pay and PayPal.

In this section, we will explain what a payment gateway and merchant service provider (MSP) do and how these interact on CORESense.

Payment Gateways

A payment gateway refers to the software that processes online payments, such as credit card processors and digital wallets. CORESense incorporate payment gateways, called Payment Processors in CORESense,  into their systems to provide a way to collect payments online or in store.

“Payment  Type” refers to the choices provided to shoppers at checkout. For example, the option to pay with a credit/debit card or a PayPal account is a Payment Type, and the Payment Processor does the actual processing for that Payment Type..

Merchant Service Provider

A merchant service provider (MSP) is a company that provides the products and services necessary to accept credit cards, debit cards, and other forms of electronic payment. They act as intermediaries between your business and credit card companies or banks. Payment gateways are often tied to merchant accounts with the merchant service provider.

How this works in CORESense

CORESense works with several merchant service providers to offer various payment gateways for merchants to choose from. When a merchant wants to use a particular payment gateway, they will need to connect to a merchant account. This creates the relationship between the merchant and the MSP. The Payment Processors supported by CORESense, their associated Merchant Service Provider and Payment Types are summarized below:

The following tasks can be performed in the CORESense Back Office to manage credit card payments.

Understand Payment Status

Applying a credit card payment requires a series of steps performed within the CORESense system, the payment gateway, and the financial institution. Since CORESense is integrated directly with the payment gateway, and the payment gateway is integrated directly with the financial institutions, users can utilize CORESense alone to perform day-to-day credit card transactions. Upon performing each transaction, the payment status is automatically updated.

ImportantThe Deposit Report includes all credit card payments applied within a specified date range in the status of Authorized, Unsettled Capture and Received, but not Void. The Orders Report includes all orders either created or shipped within a specified date range. For each order, the due balance includes all credit card payments in the status of Unsettled Capture, Received, but not Authorized or Void.

Status

Description

Authorized

The credit card payment is authorized, but has yet to be captured. If the authorization is not captured after 30 days, the authorization expires and can no longer be captured. It is recommended to void the payment and perform another authorization. Once voided, the status is automatically updated to Void.

Unsettled Capture

The credit card payment has been captured, but has yet to be settled by the financial institution, which occurs automatically through the payment gateway. The settlement time may be configured through the payment gateway account. Once settled, the status is automatically updated to Received and then a credit may be performed.

Received

The credit card capture has settled and the payment is received.   This will show as captured in the payments table.

Void

The credit card payment has been voided.

Credit This indicates a refund has been made. 

Perform a Credit Card Payment Authorization

By performing an authorization, a transaction is sent to the financial institution to check the customer's credit card validity and available balance for approval. If approved, a hold is placed on the funds for 30 days (this may be configurable in the payment gateway account). After 30 days, the authorization expires and requires the performance of another authorization. Authorizations are approved based on fraud settings set up on the payment gateway account. These settings can be updated online from the payment gateway account. Contact the payment gateway for more information.

Follow the steps below to perform a credit card payment authorization.

All payment types are managed through the Payments box.

Forcredit cardpayment complete the following:

  1. Enter the amount of the payment (split payments methods can be used).

  2. Select the method of payment from the drop-down list (VISA, American Express or Mastercard).

  3. Select the credit card processing option.

  4. Select a credit card on record from the drop-down list or add a new one.

  5. Enter the three-digit security code for the selected card (these numbers are not stored in the Back Office).

Note:Credit cards types are each  listed in the drop-down list, i.e. Mastercard, VISA, American Express. Do not mistakenly select the "Credit" option when you need to select a specific card type.

If Successful, the credit card payment is applied to the order and displays in the Payments box.

Important: An authorized credit card payment does not apply towards the due balance of the order until it has beencaptured.

If Unsuccessful, the Unsuccessful Credit Card Payment Authorization window appears displaying the reason the authorization failed. CORESense receives all failed authorization messages from the payment gateway. If the failed authorization message does not provide enough detail, log into the online payment gateway account or contact the payment gateway for more information.

Capture a Credit Card Payment

Only authorized credit card payments can be captured.  

Path: Orders> Order Manager > Billing

Follow the steps below to capture a credit card payment.

In the Payments box, click Capture next to the desired payment to capture it.

Important: Payments that were authorized over 30 days ago cannot be captured. Instead, it is recommended to void the payment, then perform another authorization.

By clicking Void, the authorized credit card payment can be voided.

To capture the credit card payment authorization, click Capture Transaction.

The credit card payment authorization is captured and the status is set to Unsettled Capture.

Credit a Credit Card Payment

Only captured, settled credit card payments can be credited against. Credits can only be made up to the original authorization amount.

Follow the steps below to credit a credit card payment.

ClickCredit in the Actions column, next to the desired payment to credit against.

The Transaction Summary and Credit Transaction boxes display. Enter the amount to be credited in the Credit field.

Note: Credits can only be made up to the original authorization amount.

Click the Credit Transaction button to submit credit.

The credit card payment is now credited, the Credit Transaction window closes, and the credit is applied as a negative Amount in the Payments box.

 Note: The Status of the credit remains "Unsettled Credit" until the payment processing company applies the credit.

Void a Payment

Only authorized and captured credit card payments that have yet to settle can be voided. If the credit card payment has already been captured and settled, a credit must be performed.

Follow the steps below to void a credit card payment.

The system prompts you to confirm the Void action. Click OK.

The payment authorization is voided and the Status is set to Void.
