FedEx® Integration

Since CORESense is integrated with FedEx®, shipment processing occurs directly from the CORESense Back Office, eliminating the need for separate software systems such as FedEx Ship Manager ®. Only shipments with a standard FedEx shipping method can be processed using the FedEx integration. This section addresses the following FedEx Integration topics:

 

Process Flow

The below figure assumes the retailer is processing ten shipments. In most cases, the quantity of FedEx shipments is much higher and the retailer may perform multiple picking and packing runs before the final FedEx End of Day Close process is performed.

For each shipment that has already been picked and packed, physically obtain the pick / pack list. The pick / pack list is printed when performing picking and packing runs.

 

 

 

The Shipment ID is the unique identifier for the shipment. This is printed on the pick / pack list for each shipment. Using the Shipment Manager, search for and process the associated FedEx shipment. Once processed, a FedEx shipping label is generated, printed, and should be placed onto the box. 

As performing daily picking and packing runs, repeat steps 1 and 2 until all FedEx shipments are processed for the day. Once finished, the FedEx Ground End of Day Close MUST be performed, explained in the next step.

FedEx requires a FedEx Ground End of Day Close for all FedEx Ground shipments be performed at the end of the day. Once complete, a historical FedEx End of Day Close reports can be viewed.

 

International Shipments

Both domestic and international shipments use the same processing interface, but international shipments request more information and provide more options.


A shipment is considered international if the following shipment criteria are met:

 

CORESense does not currently support shipping FedEx shipments between non-US countries. For example, from Canada to France, or from Germany to Canada.

Prerequisites

In order to use the FedEx integration, a variety of CORESense system settings MUST be set.  The settings are available from icon-sys_settings.png> Integrations > Shipping Carriers. Included in these setting is the FedEx shipping label option, which enables printing the shipping label using a laser printer or integrated thermal printer, explained below.

Important: Inkjet printers are not currently supported by FedEx due to low resolution and ink run potential. Instead, you are required to use a laser or thermal printer. However, if using the Firefox browser, the thermal printer will generate two labels. It is recommended that if duplicate labels are an issue for your operations, use the Internet Explorer browser.

A single document, printed from a local or networked laser printer. The document includes both a "peel off" FedEx shipping label and separate order summary document. Once printed, you can "peel off' the shipping label, stick it to the box, and then place the remaining order summary document into the box.

Special die-cut label stock is required.

Process a FedEx Shipment

Follow the steps below to process a shipment for FedEx.

In the Filter Shipments section of the Shipment Manager, search on a specific Shipment ID or Shipping Method (FedEx).

From the Search Results list identify the shipment to be processed.

The Shipment Details screen information is organized according to the four areas identified in the image below.

The edit buttonopens the COD Details screen and includes the Amount, Collection Type and Name/Address fields that can be managed as follows:

AMOUNT: The Amount field now auto-populates with the due balance of the order associated with the shipment

COLLECTION TYPE: This field defaults to the “Any Payment Type” option. A systems setting has been added Shipping > Defaults > FedEx > "FedEx COD Default Values - For Order Shipment Only with an option to select the default COD collection type from the drop-down list.

NAME/ADDRESS: Within the new Shipping system setting, you can enter the default address information so that it displays from within the FedEx shipping COD details screen. If a default is set for each field, it is be pre-populated on the shipment.

Note: When a customer selects a COD shipping method as the payment method on the website, selecting a COD FedEx Method is required. For example: If a customer would like to pay COD for a website order, they are forced to select COD FedEx Ground, COD FedEx 2Day, or COD FedEx Standard Overnight without being able to select non-COD shipping methods such as FedEx Ground. This automation prevents customers from avoiding the COD handling fee.

Click the Get Courtesy Rate Quotes button to receive a rate quote (your cost) for the shipment, based on any changes or options selected in the FedEx Shipment Confirmation window.

To process the FedEx shipment and generate a shipping label, click Generate Shipping Label. If FedEx displays a shipping error, review the error, and then click Back to perform any changes. Once corrected, click Generate Shipping Label again.

notes.gif Note: When printing the Combined FedEx Shipping Label / Order Summary document, make sure to print using the Landscape orientation and the top, bottom, left and right printer margins are set to 0.5" for Internet Explorer and 0.2" for Firefox.

Upon generating the shipping label, the following actions are now been performed:

  1. The shipment status is updated to Shipped

  2. The associated order status is updated using one of the following order status settings:

  3. Partially Shipped Order Status - If unshipped inventory remains on the order. By default, this is Partially Shipped, but may vary by retailer and may have been specified in the More Options window

  4. Fully Shipped Order Status - If unshipped inventory remains on the order. By default, this is Shipped, but may vary by retailer and may have been specified in the More Options window

  5. A shipment confirmation email is sent to the customer using one of the following email template settings:

  6. Fully Shipped Email - If unshipped inventory remains on the order. By default, this is Full Ship Confirmation Email, but may vary by retailer and may have been specified in the More Options window.

  7. Partially Shipped Email - If unshipped inventory remains on the order. By default, this is Partial Ship Confirmation Email, but may vary by retailer and may have been specified in the More Options window.

  8. The ship date and tracking number is saved on the shipment

To print the FedEx Shipping Label document, click Print from the Print Confirmation window.

 

Perform the FedEx Ground End of Day Close

This section explains how to perform the FedEx Ground End of Day Close. An End of Day (EOD) close is an important FedEx Ground function that must be performed when all Ground shipments are done for the day. By performing an EOD, all FedEx Ground shipping transactions created throughout the day are transmitted to FedEx Ground. After the close is completed, a FedEx Ground Manifest should be printed and supplied to FedEx Ground when the shipments are tendered.

The FedEx Ground® Close Manifest window is divided into two sections: View Historical Shipping Manifest Reports and FedEx Close Out Request, explained below.

  • View Historical Shipping Manifest Reports - Enables the display and download of FedEx Ground Manifest Reports. By default, reports generated within the last 72 hours display for the selected account.

  • FedEx Close Out Request - Enables a FedEx Ground Close Out Request to be performed for a selected account and date.

To perform a FedEx Ground Close Out Request, select the Account and Close Date from the FedEx Close Out Request section click Send Close Out Request to FedEx.

icon-stop.png  Warning: Once a FedEx Close Out Request is performed, it cannot be reverted. In addition, shipments cannot be cancelled once closed.

The close out request is sent to FedEx.  If successful, a confirmation message is displayed within the FedEx Close Out Request section and the Shipping Manifest Report displays in the View Historical Shipping Manifest Reports section.

If Unsuccessful, an error message is displayed at the top of the FedEx Ground® Close Manifest window.

  • If the following error is received: FedEx Error [9804]: No shipments exist in FedEx for the close out request to be processed., a FedEx Ground Close Out Request has already been successfully performed for the selected account and date and no additional FedEx Ground shipments have been processed since the request was performed.

  • If a different error is displayed and this function cannot be performed, please contact CORESense support.

 

 

View Historical FedEx Shipping Manifest Reports

This section explains how to view and print FedEx Shipping Manifest Reports. These reports can only be generated up to 72 hours after performing a FedEx End of Day Close.
