Tax Exempt Orders

This process details how tax exempt orders are placed using a website. When a customer navigates to the checkout after purchasing an item, the CORESense system performs two checks:

 

  1. It first verifies if the customer has a Tax Exempt Certificate associated with his or her account

  2. Then identifies if the Department being ordered from allows Tax Exempt Orders.

If the customer’s certificate...

Then...

is set to be automatically applied

the Tax Exempt Order check box is checked.

has to be manually determined applicable

the check box is blank and you have to use the Add Tax Exempt Certificate step.

Note: The setting to apply a certificate automatically is controlled in the Customer Manager.

 

Follow the steps below to process a tax exempt order using the website.

Enter the Certificate Code in the text box provided.

Choose the Certificate State from the drop-down menu.

ecxclamation.PNGImportant: If the customer is part of an IHA Account he or she cannot log into the website and place an order; only the IHA Administrator can log in and place orders. The Tax Exempt Certificate used belongs to the IHA Parent Account, not the child account.

Choose the Payment Method.

Click Apply and the system verifies your success.

Before clicking Place Order,  verify that no tax has been applied by checking the Review Order Summary window. In the order below, the Sales Tax has been correctly applied as $0.00.

Click Place Order and the Order Confirmation screen appears. You can again verify that no tax was applied by scrolling to the summary information at the bottom of the page.

Automated Web Templates

There are two email templates affected by Tax Exempt orders functionality.

 

  1. Tax Exempt Certificate Activation – This is a new template. This e-mail is sent to a customer when a customer-certificate link is activated from the CORESense Back Office.

  2. Order Confirmation – This template is modified to reflect tax exemptions.

 

Web Error Messages

The following is a table that indicates new system-generated Error Messages relating to tax exempt ordering.

Meaning

Incorrect tax exempt certificate code - please check your tax exemption certificate and re-enter the code.   

Displayed when an order is placed, and the tax exempt checkbox is picked, but the certificate code is wrong.

Your tax exemption information has not yet been verified - please call 1-800-555-1212 or visit this “link” for further instructions.

Displayed when an order is placed, and the tax exempt checkbox is picked, the certificate is correct, but it is not yet active for the given customer.

Incorrect tax exempt certificate code - please check your tax exemption certificate and re-enter the code.

Displayed when an order is placed, and the tax exempt checkbox is picked, but the certificate code is wrong.
